ScreenTenants.ca is operated as a sole proprietorship based in Ontario, Canada. We provide bank-connected income verification reports for Ontario residential rental applications. Our contact email is info@screentenants.ca.
This policy applies to all personal information we collect in the course of providing our services. We are subject to the Personal Information Protection and Electronic Documents Act(PIPEDA), Canada's federal private-sector privacy law, as well as applicable Ontario privacy principles.
We collect different categories of information from landlords and tenants:
We do not use tenant data for any purpose beyond the specific verification requested, and we do not sell personal information to third parties.
Tenant participation is entirely voluntary and tenant-initiated. Before connecting any financial account or providing identity documents, tenants must explicitly consent via a plain-language consent screen. Tenants may withdraw consent at any time by contacting us. Withdrawal will prevent report generation but cannot reverse data already shared with the landlord.
We do not collect tenant information until the tenant has actively chosen to proceed with verification. Landlords initiate the process by sending a link; tenants decide whether to use it.
We use the following sub-processors to deliver our service. Each is contractually bound to handle data only as directed and to meet applicable privacy standards:

All data is stored in Canada (AWS ca-central-1) or with providers that meet Canadian data residency requirements where applicable.
Tenant financial data (bank transaction data, payroll data) is used solely to generate the income report. Once the report is delivered, raw financial data is deleted from our systems. The finalized report PDF is retained for 90 days to allow re-delivery, then permanently deleted.
Identity verification data (ID images, liveness checks) is processed by Persona and deleted after verification is complete, per Persona's data retention policy.
Landlord account and payment data is retained for as long as the account is active, plus 7 years for tax/legal purposes.

Our income verification reports are designed to comply with the Ontario Human Rights Code. Reports show verified income amounts and employment status only. We do not include source-of-income details, income type flags, or any information that could be used to discriminate on prohibited grounds. Landlords who use our reports remain responsible for complying with the OHRC in their tenant selection decisions.
We use industry-standard encryption (TLS in transit, AES-256 at rest) to protect personal information. Access to tenant data is restricted to staff directly involved in processing the specific verification request. We conduct regular security reviews.
We may update this policy from time to time. Material changes will be communicated by email to registered users. The "Last updated" date at the top of this page reflects the most recent revision.
